Lost Items Policy:

Any lost items that are not picked up within 3 months of being reported will be donated to a charitable organization. The client will be notified once the item is found, and they will have the opportunity to pick up the item within this 3-month period. If the item is not retrieved within that time frame, it will be donated to a local charity.

At Berks Medical Massage, we are committed to providing a safe, respectful, and professional environment for all clients and therapists. The following policies are established to protect our staff, respect scheduled appointment times, and ensure the highest standards of professional care.

Our facility operates by appointment only. For the safety, security, and privacy of our clients and therapists, our entrance remains locked between appointments.

• Please do not arrive more than 5 minutes early.
• Your therapist will unlock the entrance approximately 5 minutes before your scheduled appointment.
• Clients arriving earlier must remain in their vehicles until the entrance is unlocked.
• Walk-ins and unscheduled visits are not permitted, except during designated holiday gift card purchasing hours.

In-person gift card purchases must be scheduled in advance. Walk-in gift card purchases are not available outside our designated holiday shopping period.

Holiday Exception — Black Friday through Christmas Eve:

During this period, our front desk will be open for walk-in gift card purchases during designated holiday office hours. No appointment is required during these posted hours.

Outside the holiday shopping period, all in-person gift card purchases must be arranged in advance.

Online gift cards are available for purchase year-round through our website.

Clients under 18 must have written permission from a parent or legal guardian before receiving massage therapy. A parent, legal guardian, or authorized representative must remain physically present in the treatment room throughout the session.

Minors and accompanying guests may not remain unattended in the lobby or elsewhere on the premises. Friends and family members may only accompany clients into treatment rooms with therapist approval.

Our staff cannot provide childcare or guest supervision.

A minimum of 24 hours' notice is required to cancel or reschedule an appointment.

• 24 hours or more notice: Clients may cancel and receive a refund of eligible prepaid service amounts or request to reschedule.
• Less than 24 hours' notice: A cancellation fee equal to 100% of the scheduled service price applies, as agreed at booking.
• No-shows: Missed appointments without notice are subject to a 100% cancellation fee.
• Late arrivals: Sessions may be shortened without a price reduction. Appointments that cannot be accommodated may be treated as late cancellations.

Applicable cancellation and no-show fees may be charged to an authorized payment method on file. If payment cannot be processed, a Square invoice will be issued.

All outstanding cancellation or no-show balances must be resolved before future appointments can be scheduled.

All couples and group appointments involving two or more clients require full prepayment to confirm the reservation.

• Reservations are confirmed only after payment is received.
• 24 hours or more notice: Clients may cancel for a refund of eligible prepaid service amounts or request to reschedule, subject to availability.
• Less than 24 hours' notice or no-shows: A cancellation fee equal to 100% of the scheduled service price applies, as agreed at booking.

In-Person Credit Card Processing Fee (2.6%): A 2.6% processing surcharge applies to eligible credit card transactions made in person at Berks Medical Massage.

Clients may pay with cash or debit card to avoid this surcharge. No credit card surcharge applies to online bookings or online payments.

MassageBook Online Convenience Fee ($3.85): A separate $3.85 convenience fee applies to eligible online payments processed through MassageBook. This fee does not apply to payments made in person.

These fees are separate and are never combined on the same transaction. All applicable fees will be disclosed before payment.

Berks Medical Massage accepts Health Savings Account (HSA) cards through Square for professional medical massage services only.

HSA cards are not accepted for relaxation massages, spa packages, student clinic massages, or other non-medical services.

Client Responsibility: Clients are responsible for confirming that medical massage is an eligible expense under their individual HSA plan and any applicable medical necessity requirements.

Berks Medical Massage does not verify insurance coverage, determine HSA eligibility, or guarantee reimbursement or approval by an HSA administrator. Clients should contact their HSA administrator or insurance provider before scheduling if they are unsure of their benefits.

Please note: The ability to process an HSA card through Square does not automatically establish that the service qualifies as an HSA-eligible medical expense.

Berks Medical Massage maintains a strict zero-tolerance policy for inappropriate, disrespectful, threatening, aggressive, sexually suggestive, or unsafe behavior.

This includes sexual comments, gestures, advances, harassment, inappropriate physical contact, or any conduct that compromises the safety and professionalism of our facility.

Violations may result in:

• Immediate termination of the treatment session.
• Applicable service charges, where authorized and legally permitted.
• Permanent refusal of future non-emergency services.
• Notification of law enforcement when appropriate.

All services are strictly professional, therapeutic, and clinical in nature. Our therapists' safety, dignity, and professional boundaries must be respected at all times.

By scheduling an appointment with Berks Medical Massage, clients acknowledge that these policies have been made available to them and agree to comply with all applicable booking terms.

Cancellation fees and charges to stored payment methods require appropriate advance disclosure and payment authorization.

These policies are designed to protect our therapists' time, maintain a safe and secure environment, and provide every client with the professional care they deserve.
